Privacy Policy

When you submit an inquiry form we collect the information you choose to provide: your name and email address (required), and optionally your phone number, destination, travel dates, number of travelers, and any message you write.

We also record limited technical metadata with each submission for security and anti-spam purposes: your IP address, browser user agent, the page you submitted from, the referring page, and marketing campaign parameters (such as UTM tags) present in the link you arrived through.

Our public website forms never request passport numbers or passport images, Social Security or national ID numbers, payment card or bank details, full dates of birth, medical or health information, or sensitive details about children. Please do not include that information in a website form. When details like traveler names or dates of birth are genuinely required to complete a booking, we collect them later through a secure, direct channel.

Each inquiry form includes an explicit consent checkbox confirming you agree to be contacted about your travel inquiry. We store the exact consent wording you agreed to, along with the date and time, so both of us have an accurate record. You can withdraw consent at any time by emailing us.

We use it to respond to your inquiry, prepare travel options and quotes, and communicate with you about the trip you asked about. We do not sell your personal information, and we do not add you to unrelated marketing lists from a website inquiry alone.

We ask for the minimum information needed to respond usefully — most form fields are optional. We keep inquiry records only as long as needed for the planning relationship and for reasonable business and record-keeping purposes, then delete or anonymize them. You may request deletion of your inquiry record at any time.

Inquiry submissions are stored in our hosted application database, operated by our website hosting and backend infrastructure providers on our behalf. Epic Escapes Getaways is affiliated with Fora Travel as our host agency, and bookings are fulfilled through travel suppliers (resorts, cruise lines, and tour operators) who receive only the information needed to service your booking.

Our site links to external supplier and partner websites, some of which are personal advisor referral or affiliate links. Once you follow an external link, that company's own privacy policy applies. See our Booking Link Disclosure.

Inquiry data is transmitted over encrypted connections and stored in an access-controlled database. Only authorized Epic Escapes Getaways staff, authenticated through our protected admin area, can view submissions. No system is perfectly secure, so please avoid sending sensitive documents by email or web form.

Our website is intended for adults. We do not knowingly collect personal information directly from children under 13. When a family trip involves minors, we ask the booking adult for only what the supplier requires, and only through a direct secure channel — never through a public web form. If you believe a child has submitted information to us, contact us and we will delete it.

You may request access to, correction of, or deletion of the inquiry information we hold about you, and you may ask us to stop contacting you. Email us and we will handle the request promptly.
